What Is Voicentri and How Does It Work

Voicentri is an AI voice agent that answers your business phone line. Here is how a call works step by step, how it connects to your number and calendar, and how much it saves against a full time receptionist.

Voicentri is an AI voice agent for business phone lines. It answers your calls in a natural voice, uses the facts you have given it about your business, finishes the task the caller rang about, and sends you a written record of the conversation.

This post explains what happens on a call, how the setup fits around the phone number and tools you already use, and how the cost compares with the alternatives.

The short answer

You forward your business number to Voicentri. When someone calls, the agent picks up within two rings, greets the caller in your business name, and has a normal back and forth conversation. It answers questions from your own information, books appointments or takes orders, and either finishes the job or transfers the caller to a person. You get a transcript and a summary in your inbox. You pay $0.080 per minute of talk time.

What happens during a call, step by step

1. The call arrives. Your existing number forwards to Voicentri. Several calls can arrive at once and all of them are answered. There is no queue and no busy signal.

2. The agent greets the caller. It uses the greeting you wrote, in your business name. Most businesses state in that greeting that the caller is speaking to an automated assistant.

3. The caller speaks normally. No menu options, no keypad. The agent hears the caller, works out what they want, and responds in about the time a person would take to reply.

4. The agent looks things up. Your hours, prices, menu, room types, policies and availability are the only source it uses. If the answer is not in what you gave it, it says so and takes a message instead of guessing.

5. The agent completes the task. It books the appointment, holds the table, takes the order, or answers the question. Before ending, it repeats the details back so the caller can correct anything.

6. The record lands in your inbox. Caller number, recording, full transcript and a short summary of what was asked and what was promised.

7. Handoff when your rules say so. You define the cases that need a person. When one comes up, the call is transferred with the context from the conversation, or a message is taken if nobody is free.

What you have to give it

The agent is only as good as the information behind it, and that part takes minutes rather than weeks.

  • Business facts. Hours, address, parking, prices, menu or room types, what you do and do not offer.
  • Booking rules. How far ahead people can book, minimum notice, deposit rules, cancellation policy, how long a slot takes.
  • Tone. How formal you want it, what it should call your business, what it should never say.
  • Handoff rules. Which calls go to a person, and to which number.

Plain text is enough. There is no scripting language and no flow chart to draw.

How it connects to what you already use

Your phone number. Keep it. You either forward the number to Voicentri or port it across. Customers keep dialling what is already on your door and your invoices.

Your calendar or booking system. Bookings are written where you already look for them, so your team does not have a second place to check.

Your inbox. Summaries and messages arrive by email. Nothing depends on someone remembering to check a voicemail box.

What it saves

Here is the arithmetic that matters, using a business that takes around 400 calls a month at an average of two and a half minutes each.

Option Monthly cost Hours covered
Full time receptionist Salary plus tax and cover for breaks and holidays About 40 hours a week
Traditional answering service Monthly retainer plus a per call fee Varies by plan
Voicemail Free None. Most callers hang up
Voicentri 400 calls x 2.5 min x $0.080 = $80 Every hour of every day

Two things drive the saving. The first is that you pay for talk time only, so the quiet hours cost nothing. The second is the revenue that stops leaking, because the calls that used to ring out are now answered and booked.

For a restaurant, three recovered tables a month usually covers the entire bill. For a hotel, one direct booking that skips the booking site commission does the same.

Where the savings come from beyond the phone bill

  • Fewer no shows. Confirmation calls the day before are cheap when they cost cents each.
  • Fewer interruptions. Your team stops stopping mid task to answer a question about opening hours.
  • Longer opening hours without staffing them. A call at 11pm is now a booking rather than a missed number.
  • A written record. Disputes about what was promised on the phone end with a transcript instead of an argument.

Is it right for your business

It fits best when your phone carries repeatable work: bookings, orders, availability questions, appointment changes, service call intake. It fits businesses in food, hospitality, health, beauty, trades, property and professional services.

It fits less well when nearly every call needs judgement about money, a negotiation, or care for someone in distress. In those cases the agent still works as a first line that captures details and hands the call straight to a person.

Common questions

Does it sound like a robot? It speaks in a natural voice with normal pacing. Callers interrupt it and it handles that the way a person would.

What if it does not know something? It says it does not have that answer, takes a message, and passes it to you. It does not make things up.

Do I need new hardware or a new number? Neither. Forwarding an existing number takes a few minutes with your current provider.

How is it billed? $0.080 per minute per number, billed by the second, with no monthly fee and no minimum.

Can it handle more than one language? Yes. It answers in the language the caller uses and switches when they do.

What about several locations? Enterprise pricing covers multiple numbers, volume rates, custom integrations, single sign on and dedicated support. Email us with your call volume for a quote.
